Position Overview

The Operations Manager serves as the operational backbone of our organization, overseeing all day-to-day activities that do not require a physical presence at our properties. This role works closely with company leadership, tenants, owners, and trusted vendor partners to ensure smooth operations, exceptional customer service, and continuous process improvement.

Key Responsibilities

Vendor Management

  • Serve as the primary point of contact for maintenance and service vendors.
  • Coordinate scheduling, communication, and follow-up with contractors and service providers.
  • Monitor vendor performance and ensure quality service delivery.

Tenant Relations

  • Manage lease administration, renewals, and tenant communications.
  • Respond promptly and professionally to tenant inquiries and requests.
  • Support vacancy management efforts to maintain strong occupancy rates.
  • Ensure transparency and consistent communication throughout the tenant lifecycle.

Financial Coordination

  • Collaborate with bookkeeping and accounting partners to maintain accurate financial records.
  • Assist with owner reporting and distribution processes.
  • Monitor operational expenses and support budget management initiatives.

Operations & Process Improvement

  • Evaluate and improve internal workflows and operating procedures.
  • Maintain organized digital records and documentation systems.
  • Identify opportunities to leverage technology and AI-driven tools to improve efficiency and productivity.
  • Support strategic initiatives and special projects as needed.

Qualifications

Required

  • Strong organizational and time-management skills.
  • Excellent problem-solving abilities and attention to detail.
  • Ability to work independently and take ownership of responsibilities.
  • Outstanding written and verbal communication skills.
  • Proficiency with digital tools, software platforms, and remote collaboration environments.

Preferred

  • Experience in residential property management, real estate operations, or a related field.
  • Familiarity with U.S. property management practices, particularly California regulations and processes.
  • Experience with property management software platforms.
  • Knowledge of AI tools and workflow automation solutions.
